Client Credit — One Prepaid Balance Per Client

Give each client a single running credit balance they top up at the till. Optional top-up bonuses reward bigger spends, credit applies automatically at checkout, and a liability report shows exactly what you owe.

What is client credit?

Client credit is a single prepaid balance on a client’s profile that your team tops up and that applies automatically at checkout — without a gift-card code. Bella Booking supports top-up bonuses, a full transaction ledger, refunds to credit, goodwill adjustments, and a stored-value liability report that splits real money from promotional bonus. Credit is till-side today: it is not shown or auto-applied on online booking.

Client credit is a business-owned prepaid balance on each client profile — simpler than juggling separate gift-card codes for regulars. Your team tops up the balance at the till (cash, manual card, other, or card on file), optionally with a top-up bonus such as “top up 100, get 10 extra”. At checkout the balance applies itself automatically, capped at the bill, with a toggle to skip it for that sale. Bonus credit is tracked separately from the client’s own money and is spent first. Balances do not expire. Refunds can return money to the credit balance instead of the client’s card. Client credit is not shown on online booking and is not applied to online deposits in this version — your team applies it at the till. Available on the Professional plan.

Key capabilities of client credit

One running balance per client

Top up the same balance instead of issuing a new gift card each time. Credit is bound to one client — not a bearer code anyone can redeem.

Top-up at the till

Settle top-ups with cash, manual card, other, or charge a card on file. Online payments are not required to take a top-up. Configure quick-pick amounts and optional custom min/max.

Top-up bonuses

Reward bigger top-ups with tiers (flat amount or percentage). The highest qualifying tier applies; bonuses do not stack. Bonus is tracked separately and spent first at checkout.

Applies automatically at checkout

When a client with a balance checks out, credit applies up to the bill total. Toggle “Apply credit” off to skip it for that sale. Any remainder is taken on one other payment method.

Refunds to credit

Refund a credit-paid sale and the spent credit returns to the balance. On any sale, choose “Refund to credit balance” to keep the money with your business as client credit.

Full ledger & adjustments

Every top-up, bonus, spend, refund, reversal, merge and goodwill adjustment is recorded with who did it. Adjustments require a reason and the right permission.

Stored-value liability report

Reports → Client credit summary shows outstanding credit across clients, split into real money and promotional bonus, per currency — with an on-demand reconcile check.

No stranded balances when disabled

Turn the feature off and new top-ups stop — existing balances stay spendable and refundable. Client money is never stranded.

How client credit works

Enable and configure

Go to Settings → Client credit, switch it to Active, set top-up presets, and optionally add top-up bonus tiers.

Top up a client

Open the client’s Wallet → Credit, choose an amount (any bonus shows live), settle at the till or with card on file, and confirm.

Apply at checkout

At checkout, eligible credit applies automatically. Leave the toggle on, or switch it off for that sale.

Report liability

Use the Client credit summary report to see outstanding real and promotional balances across your clients.

Frequently asked questions

How is client credit different from gift cards?

A gift card is a bearer instrument redeemed by a code and can be gifted to anyone. Client credit is bound to one client, has one running balance you top up again and again, and applies at checkout without a code.

Does client credit expire?

No. Balances do not expire — the safest default under stored-value rules in most countries.

Can clients use credit when they book online?

Not in this version. Credit is applied by your team at checkout. It is not shown on the online booking page and is not auto-applied to online deposits or prepayments.

Can a balance go negative?

No. Spending is capped at the available balance.

Which plan includes client credit?

Client credit is available on the Professional plan (and multi-location arrangements). It is not on Solo or Starter.

What currency is the balance in?

A balance is held in the currency of the client’s first top-up. Top-ups and spends must use a location in that same currency.
