Which Booking Software Can Refund and Void a Sale?

All 15 platforms document a refund path, and 8 also document some form of void or sale correction. Only 4 pair full and partial refunds with an undo that takes a completed sale out of your reports; the rest restrict it by tender or sale state, or leave it undocumented.

Every platform on this page can send money back. The difference is what happens to everything else the sale touched, and what you do when the checkout itself was wrong. Bella Booking reverses all of it through one engine: thirteen balances a cancel, refund or void can move, from the card charge and the deposit to the gift-card balance, the package and membership sessions, the loyalty points, the referral reward and the product stock. Full or partial refunds carry a reason; on a partial refund you pick line by line what the client gets back. Void a sale and the whole checkout unwinds, the sale leaves your takings without landing in your refund column, and the appointment comes back so you can ring it up properly. A data-entry slip does not need any of that: the collection method, the team member credited, the receipt note and the sale date can each be corrected in place, with a reason and an edit history. Frequently asked questions

What is the difference between refunding a sale and voiding it?
A refund says the sale happened and some or all of the money is going back. A void says the sale never happened at all. In Bella Booking a voided sale keeps its invoice number and stays in your Sales list marked Voided, but it leaves your takings entirely and is not counted as a refund either, and its appointment goes back to unpaid so you can correct what was sold and check out again. The two are mutually exclusive on one sale, because a record that was both would be excluded from your revenue and counted in your refund column at the same time. Phorest and Zenoti both draw the same distinction; Mindbody states plainly that voiding is not available with Mindbody Payments, and Fresha cannot void a sale that included a card payment.
If I refund an appointment, does the client get their package session back?
With Bella Booking, yes, and you decide. A full refund hands back everything the sale consumed: gift-card balance, store credit, package and membership sessions, loyalty points, a referral reward, a once-per-client offer, and product stock. On a partial refund nothing is returned on a guess, because an amount cannot tell you which session it belongs to; instead the refund screen lists what the client could get back and you set each line to Restore or Forfeit. Most platforms document the money movement only. Vagaro is the closest, with separate refund flows for package visits and membership visits, and Mangomint restocks products on a line-item refund.
Can I fix a mistake on a completed sale without refunding the client?
Yes, when the mistake is record-keeping rather than money. Bella Booking lets you correct the collection method (between cash, manual card and other), the team member credited on a line, the client-facing receipt note and the sale date, each with a mandatory reason that is written into the sale's Edit history. Anything backed by a real card charge, gift card or package has to be refunded or voided instead. Zenoti also lets you edit or reopen a closed invoice, and Phorest documents editing a paid sale and changing its date. Boulevard states the opposite: a closed order cannot be reopened to add a service or gratuity.
Which day does a refund show up on in my reports?
In Bella Booking a refund lands on the day it was issued, never back on the day of the original sale. Gross sales sit on the sale day, refunds sit in their own column on the refund day, and net is gross minus discounts minus refunds. That matches how a tax adjustment is attributed to the period you become aware of it, and it means a month you have already reconciled is never quietly rewritten by a refund that lands weeks later. A voided sale is different again: it is not a sale and not a refund, so it simply is not in the report at all.
Who on my team can issue a refund or void a sale?
In Bella Booking, refunds, voids, cancellation-fee refunds and sale corrections all sit behind the same sales:refund permission, held by Owner and Admin by default. Cancelling an appointment is a wider grant that reception normally holds, so reaching a completed checkout's money through the cancel dialog does not get around the refund permission. Kitomba records the user behind every refund in its security log, Zenoti requires role permissions before a closed invoice can be reopened, Mindbody splits refunding from refunding to a credit card into two separate staff permissions, and Timely requires a staff permission to void sales and payments.
Do card refunds go back automatically, or do I handle them myself?
It depends on how the sale was paid. In Bella Booking a Card on File payment is refunded through Stripe automatically and lands back on the client's card; cash, manual card and other tenders are record-only, so the refund is written into your books and you hand the money back yourself. Deposits reverse through the appointment's own Refund deposit action, and a charged late-cancellation or no-show fee has its own Refund fee action. Most competitors work the same way for their own processor: Timely refunds automatically only through TimelyPay, Phorest through PhorestPay, and Setmore does not refund deposits automatically at all.
